Office Manager – Full-time, University City Public Library

The University City Public Library is looking for an administrative professional to handle payroll, bookkeeping, and ordering supplies. We are seeking a detail oriented person who can simplify systems and procedures. UCPL serves a highly diverse, civic-minded, eclectic population and enjoys tremendous community support. Our facility underwent a full-scale renovation, making it an exciting time to join us as we explore new ways to be of service, while continuing to offer one of the finest standalone library collections in metro St. Louis and an array of lifelong learning and entertainment opportunities for patrons.

Responsibilities:

  • Process payroll.
  • Manage accounts receivable and accounts payable.
  • Handle petty cash and daily deposit.
  • Professional communications with vendors and service providers.
  • Manage bulk mailings for library and Friends of the University City Public Library events.
  • Contact vendors as required for equipment repairs including phone system and copiers.
  • Prepare mailings for Library Board and take meeting minutes.
  • Order and maintain office supplies for all library staff.
  • Design and maintain forms necessary for library functions.
  • Keep statistical information required for library annual report.
  • Other duties as assigned.
  • Update staff records, process new-hire paperwork
  • Work with Director and Assistant Director on HR procedures and issues
  • Maintain records for Library grants and grant payments
  • Coordinate mailings and scheduling with Gallery manager

Knowledge, skills, abilities:

  • Ability to plan and work independently.
  • Knowledge of best practices for bookkeeping and cash handling.
  • Ability to analyze systems and procedures and suggest changes to improve.
  • Ability to learn and efficiently use systems in place for payroll, time clock and other enterprise software to interface with financial institutions.
  • Demonstrates excellent organization and planning skills and the ability to manage multiple projects.
  • Ability to accurately maintain financial records.
  • Ability to effectively communicate with internal customers and vendors using verbal and written communication
  • Ability to prioritize projects, meet deadlines and manage changing priorities.
  • Mastery of Microsoft Office applications.

Essential Physical Abilities to be accomplished with or without reasonable accommodation:

  • Clarity of speech and hearing which permits the employee to communicate effectively with the supervisor and other employees.
  • Vision which permits the employee to produce and review a wide variety of library materials, written correspondence, reports and related materials in both electronic and hard copy form.
  • Manual dexterity which permits the employee to operate a keyboard and any other assigned equipment to process library materials.
  • Personal mobility which permits the employee to monitor, supervise, and perform assigned library operations, and to attend Library district, community, and public meetings at various locations. 
  • Lift up to 40 pounds, push and pull carts weighing up to 200 pounds, bend, stoop and reach shelving from floor level to 6 feet high, and stand or walk for at least 1 hour at a time.
  • Tolerance for dust and mold which permits the employee to work with books and other library materials as well as work in older buildings.

Qualifications:

  • Associate’s degree or equivalent experience. Higher educational attainment preferred.
  • Library experience preferred.

Circulation Clerk, Part-time – Maplewood Public Library

The Circulation Clerk is responsible for assisting library visitors with circulation related needs; the primary focus of this position is customer service.

Essential Duties and Responsibilities:
● Greet and interact with a diverse community of library visitors.
● Accurately communicate library policies to visitors.
● Perform circulation duties including checking materials in and out, requesting materials for library visitors, creating library cards, and answering basic reference questions.
● Perform opening and closing duties.
● Accurately shelve library materials and perform ongoing shelf maintenance.
● Other duties as assigned.

Education and Experience:
High school diploma or equivalent required with previous customer service experience preferred.

Requirements:
● Ability to reach materials on low and high shelves.
● Ability to push a full cart of library materials.
● Ability to multitask.
● Ability to use a PC, word processing software, email, and other basic technology.

Salary and Schedule:
$14.10/hour with a raise to $15.10/hour effective January 1, 2026
Monday, 9am-3pm; Wednesday & Thursday, 3-8pm; Saturday, 8:45am-5pm (rotation: 2 on, 1 off)
